The Dorset Meat Company Ltd (DMC, we, us or our) is the controller responsible for personal information collected through the Monty’s Larder website, plan builder, customer accounts, orders, regular deliveries, marketing and customer-support services.

2. About this Privacy Policy
This Privacy Policy explains what personal information we collect, why we use it, the lawful bases on which we rely, who we share it with, how long we keep it and the rights available to you.

Payment-card transactions are handled by payment service providers. We do not ask you to send full card details by email and you should never do so. We may receive limited payment information such as the card type, last four digits, transaction identifier and payment status.
3.3 Information about your dog
When you use the plan builder, feeding tools or Care Team, we may collect information such as your dog’s:
- name;
- breed;
- age and date of birth;
- sex and neuter status;
- weight and body condition;
- activity level;
- food preferences;
- allergies, intolerances or sensitivities; and
- other feeding information you choose to provide.
Information about a dog is not usually personal information by itself. It becomes part of your personal information where it is linked to you or your account.
Please do not use free-text fields to provide unnecessary information about your own health or another person.
3.4 Communications and content
- emails, calls, contact-form messages and Care Team correspondence;
- complaints and feedback;
- survey responses;
- reviews, photographs, testimonials or other content you submit; and
- marketing preferences and records of consent or objection.
Calls may be recorded only where we tell you and have a lawful reason to do so.

Where processing is needed to enter into or perform a contract, failure to provide required information may mean that we cannot create your plan, process an order, deliver Products or provide the requested service. Optional fields will be identified where appropriate.
6. Marketing preferences
We may send marketing about Monty’s Larder Products, offers, dog nutrition articles and related services where:
- you have consented; or
- you provided your details while buying, or negotiating to buy, a Product and the soft opt-in permits us to market similar Products and services.
We will give you a clear opportunity to opt out when we collect your details and in every electronic marketing message.
You can stop marketing at any time by:
- selecting the unsubscribe link in an email;
- following the instructions in a text message;
- changing available account preferences; or

We may keep a minimal suppression record after you opt out so that we can respect your preference. Opting out of marketing will not stop essential service messages about your account, orders, deliveries, safety notices or changes to terms.
We do not sell or rent personal information to third parties for their own marketing.

9. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including to meet legal, accounting, tax, food-safety and reporting requirements and to establish or defend legal claims.
In deciding retention periods, we consider the amount, nature and sensitivity of the information, the risk of harm, the purpose of processing, whether the purpose can be achieved another way, applicable limitation periods and legal requirements.
Typically:
- order, payment, contract and material customer-service records may be retained for up to six years after the relevant transaction or end of the customer relationship, and longer where law or an active dispute requires;
- account information is retained while the account remains active and then deleted, anonymised or restricted, subject to records we must keep;
- plan-builder and dog-profile information linked to an account is retained while needed to provide recommendations, fulfil orders and support the account, then deleted or anonymised under our retention schedule;
- marketing information is retained until you opt out, your consent is no longer valid, or we determine that continued use is no longer appropriate;
- a minimal suppression record may be kept after an opt-out to prevent further marketing;
- unsuccessful or incomplete plan-builder information is kept only for a limited period appropriate to completing the requested journey, unless you create an account or agree to another use;
- reviews and customer stories may remain published until withdrawn or no longer needed, subject to any continuing lawful basis; and
- cookie information is retained for the periods described in our Cookie Policy or consent-management tool.
We may retain anonymised information for research, analytics and business planning where it no longer identifies you.
10. Security
We use appropriate technical and organisational measures designed to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.
Measures may include access controls, authentication, encryption where appropriate, supplier due diligence, backups, monitoring and staff procedures.

13. Automated recommendations and profiling
The plan builder automatically processes information about your dog to estimate suitable meals, calories and portions. The recommendation is based on the information you provide and programmed feeding criteria.
This process helps personalise the service but does not make a decision about you that has a legal or similarly significant effect. You can contact the Care Team for help or request a human review of a recommendation.
We may also use purchase and Website-interaction information to group audiences or personalise marketing, subject to applicable consent and objection rights. We do not use solely automated decision-making that produces legal or similarly significant effects unless we tell you separately and provide the safeguards required by law.
14. Children
The Website and our ordering services are intended for adults. You must be at least 18 to create an account or place an order.
We do not knowingly collect personal information directly from children for account creation or purchasing. If you believe a child has provided personal information without appropriate authority, contact us so we can investigate and delete it where appropriate.
15. Third-party websites and social media
The Website may link to third-party websites, platforms or social-media services. Those organisations are responsible for their own privacy practices. Review their privacy information before providing personal information.
Our presence on a social-media platform does not make us responsible for the platform’s processing of your information.
